The terms and conditions governing the services provided by Calm Circle Therapy.

These terms govern the services provided by Calm Circle Therapy ("we", "our", "us"). By using our website or engaging our services, you agree to these terms.

Our Services

Calm Circle Therapy operates an online platform that matches clients seeking therapy with verified therapists. Our services include:

  • Matching clients with a verified therapist based on what they share with us
  • Verification of therapist registration against a recognised professional register
  • Introductions between matched clients and therapists

We are a technology platform that facilitates introductions between clients and therapists. We do not provide therapy services directly, we do not take payment on behalf of therapists, and we are not responsible for the clinical content of therapy sessions.

Therapist Verification

All therapists on our platform must hold current registration with a recognised professional register (BACP, UKCP, NCPS, BABCP, or HCPC). We verify registration before a therapist can receive introductions. However, we do not supervise or control the clinical practice of listed therapists, and each therapist is independently responsible for their professional conduct and the quality of their services.

Matching, Payment, and Fees

  • There is no charge to clients for using our matching service.
  • Session fees are set by individual therapists and are agreed directly between you and your therapist before any session takes place.
  • Payment for sessions is made directly to your therapist. We do not take payment on behalf of therapists and do not charge clients a platform fee.
  • An introduction is subject to a suitable, verified therapist being available to take on new clients.

Cancellation

  • Each therapist sets their own cancellation policy, which they will share with you directly.
  • Cancellations made within a therapist's stated notice period may incur a cancellation fee, as agreed between you and your therapist.
  • Refunds for cancelled sessions are a matter between you and your therapist.
  • For distance contracts, you have the right to cancel within 14 days under the Consumer Contracts Regulations 2013, provided the session has not yet taken place with your agreement.

For Therapists

  • By joining our platform, you confirm that you hold current registration with BACP, UKCP, NCPS, BABCP, or HCPC.
  • You are responsible for maintaining your registration and notifying us immediately if your status changes.
  • You set your own session rates and cancellation policies, and agree these directly with your clients.
  • When a client matches your specialisms, you are notified alongside up to two other suitable therapists. The first to claim the introduction receives it, and it is then exclusively yours.
  • A fee applies only once an introduction turns into a confirmed booking, as agreed with us directly.
  • You may pause or remove your listing at any time.
  • You are independently responsible for your clinical practice, professional conduct, and compliance with your accrediting body's code of ethics.

Liability

  • We facilitate introductions between clients and therapists but do not provide therapy services directly.
  • We are not liable for the clinical outcomes of therapy sessions arranged through our platform.
  • Our liability for any claim arising from our platform services is limited to the fees paid to us in the preceding 12 months.
  • Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, or for fraud.

Not a Substitute for Emergency Services

Complaints

We take complaints seriously and aim to resolve any issues promptly. If you are dissatisfied with our service, please contact us by email. We will acknowledge your complaint within 2 working days and aim to resolve it within 14 days. For complaints about a therapist's clinical practice, we may refer you to their accrediting body.

Changes to These Terms

We may update these terms from time to time. The latest version will always be available on our website. Continued use of our services after changes constitutes acceptance of the updated terms.
